Exhibitor Information

What We Need From You

☐ Sign and return exhibitor agreement - As soon as possible DOWNLOAD HERE.

☐ The names and contact information of your 2 booth representatives by filling in THIS FORM. Additional participants can self-register here.

☐ Certificate of Insurance & additional insured endorsement due — September 15, 2026 .

☐  Names of all comped badge holders submitted —September 1, 2026 or as soon as possible.

☐  Booth payment/invoice settled — MCCV will issue an invoice via email through Quick Books Online. Payment options include credit card, check and EFT. Invoices are due upon receipt and payment is required before exhibit set up.


Exhibit & Load-In Logistics

Load-In

Booth spaces are 11 feet wide by 3 feet deep unless otherwise arranged. Please notify us if you require electricity. No pipe and drape will be provided.

      Exhibitor load-in begins at 7:15 AM at the Student Center. Please proceed directly upstairs the the Valley Room, badges and day of exhibitor materials will be on your table upon arrival.
      Booths must be fully set up and ready by 9:00 AM, when the Expo floor opens.
      Each booth includes 2 chairs and linens (bring your own linens if you'd like a specific color/branding).
      Exhibitors are responsible for bringing their own booth displays, signage, and materials.

Load Out

Participants will be directed to head toward lunch beginning at 12:15. You may begin tear down at that time.

Dedicated Expo Floor & Networking — all attendees visit the Expo

12:15 – 12:30 PM

Attendees transition to Fitzpatrick Arena for lunch

12:30 – 2:00 PM

Lunch & Keynote Program (Dr. Kevin Fleming) — Fitzpatrick Arena

Your busiest, highest-traffic window will be 11:15 AM–12:15 PM, when the full agenda funnels everyone through the Expo before lunch. We recommend having your team fully staffed and ready during this hour.

Insurance Requirement

As a condition of our venue agreement with Stanislaus State, all contracted vendors, sponsors, and exhibitors must provide their own Certificate of Insurance (COI) and additional insured endorsement — this is separate from MCCV's own event insurance.

      Certificates must be provided to Stanislaus State at least 15 days prior to the event date (by September 1530, 2026).
      The additional insured endorsement should name: The State of California, the Trustees of the California State University, California State University Stanislaus, and their auxiliaries, officers, employees, volunteers, representatives, and agents.
